Responsibilities
- Manage complex, fluid calendars for C-suite executives, prioritizing conflicting meeting requests and resolving scheduling conflicts proactively.
- Oversee daily office operations, ensuring a high-functioning work environment, managing vendor relationships, and overseeing office supply inventories.
- Draft, review, and distribute high-level correspondence, internal communications, presentations, and reports with absolute accuracy.
- Coordinate end-to-end travel logistics, including flight, hotel, and transit arrangements, and compile detailed itineraries.
- Plan and execute high-profile corporate events, board meetings, and team summits, managing everything from venue sourcing to catering and AV setup.
- Process expense reports, manage administrative budgets, and assist in basic bookkeeping tasks to support the finance department.
- Supervise and mentor junior administrative staff, ensuring consistent standards of performance and professional growth across the department.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a closely related field.
- 5+ years of experience in executive-level support or senior administrative operations in a professional corporate environment.
- Exceptional proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and Google Workspace productivity tools.
- Proven ability to handle highly confidential information with utmost discretion, diplomacy, and professional integrity.
- Outstanding project management and organizational skills, with a proven track record of managing multiple tight deadlines simultaneously.
- Strong interpersonal and communication skills, both written and verbal, with a customer-service-oriented mindset.
