Responsibilities
- Manage and optimize complex, rapidly changing executive calendars, scheduling high-priority meetings and resolving conflicts proactively.
- Coordinate sophisticated domestic and international travel itineraries, including flights, lodging, and ground transportation.
- Draft, edit, and proofread high-level correspondence, board presentations, and confidential reports with impeccable attention to detail.
- Serve as the primary gatekeeper and liaison between executive leadership, internal department heads, and key external stakeholders.
- Organize and execute corporate events, board meetings, and team-building summits, managing logistics, catering, and materials.
- Oversee departmental expense reporting, invoice reconciliation, and administrative budget tracking.
Qualifications
- Minimum of 5+ years of experience providing administrative support to C-level executives in a professional corporate environment.
- Exceptional proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Superb written and verbal communication skills, with a demonstrated ability to maintain strict confidentiality.
- Outstanding organizational and time-management capabilities, with a proven track record of managing multiple projects simultaneously.
- Proactive, self-motivated mindset with the ability to anticipate executive needs and troubleshoot issues independently.
- Bachelor's degree in Business Administration, Communications, or a related field is highly preferred.
