Responsibilities
- Executive Support: Manage complex calendars, prioritize communications, and screen incoming calls and emails to ensure the executive team remains focused on strategic priorities.
- Travel Coordination: Plan and coordinate all domestic and international travel arrangements, including flights, accommodations, and ground transport, ensuring a seamless travel experience.
- Meeting Management: Organize and facilitate high-level board meetings, internal strategy sessions, and external client presentations, including agenda setting, minute-taking, and presentation preparation.
- Project Administration: Support cross-functional project initiatives by compiling reports, tracking key performance indicators (KPIs), and managing project documentation.
- Office Management: Oversee the daily operations of the executive suite, manage vendor relationships, and handle expense reporting with precision.
- Communication Liaison: Act as the primary point of contact for internal and external stakeholders, maintaining a professional and polished communication standard.
Qualifications
- Experience: Minimum of 5 years of experience in an Executive Assistant or Senior Administrator role, preferably within the corporate or consultancy sector.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with CRM software or project management tools (e.g., Asana, Monday.com).
- Communication Skills: Exceptional written and verbal communication skills with the ability to draft professional correspondence and reports.
- Discretion: Demonstrated ability to handle sensitive information with the highest level of confidentiality and integrity.
- Organizational Skills: Outstanding time management skills with the ability to multitask effectively in a high-pressure, deadline-driven environment.
