Responsibilities
- Executive calendar management and strategic meeting coordination across multiple departments
- Comprehensive travel arrangements including complex international itineraries and expense reporting
- Development and maintenance of confidential departmental documentation and records management systems
- Office procurement management and vendor relationship oversight with cost optimization focus
- Lead onboarding processes for new administrative staff including training and resource allocation
- Special project coordination for departmental initiatives including event planning and process improvements
- Executive-level correspondence drafting and proofreading with attention to brand voice consistency
Qualifications
- Minimum 5 years of progressive administrative experience supporting C-level executives
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Proven experience with enterprise-level calendar management tools (e.g., Calendly, Doodle)
- Exceptional written and verbal communication skills with demonstrated professionalism
- Strong financial acumen with experience managing budgets and expense reconciliation
