Responsibilities
- Manage complex calendars for executive directors, scheduling meetings and appointments while prioritizing conflicting requests.
- Coordinate domestic and international travel arrangements, including flights, hotels, and itineraries, ensuring all logistical details are flawless.
- Prepare and edit correspondence, presentations, and briefing materials for internal and external stakeholders.
- Screen incoming communications, including phone calls and emails, and route inquiries to the appropriate personnel or take detailed messages.
- Organize and maintain physical and digital filing systems to ensure easy retrieval of critical business documents.
- Act as the point of contact for vendors and service providers, negotiating contracts and overseeing office facilities.
- Assist in the planning and execution of company-wide events and board meetings.
Qualifications
- Proven experience in a senior administrative or executive support role (minimum 3-5 years).
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional organizational skills with the ability to multitask and prioritize effectively under tight deadlines.
- Strong written and verbal communication skills, with the ability to draft professional correspondence.
- High level of discretion and confidentiality in handling sensitive information.
- Valid UK work visa sponsorship is required for this position.
- Experience with project management software (e.g., Asana, Trello) is a plus.
