In this role, you will manage complex schedules, coordinate high-level travel arrangements, and act as the primary point of contact for both internal and external stakeholders. Responsibilities
- Manage and coordinate complex calendars, including scheduling meetings, appointments, and travel itineraries.
- Prepare detailed briefing materials, agendas, and presentations for meetings and board sessions.
- Act as the primary liaison between the Director and internal teams, as well as external clients and partners.
- Handle confidential information with the highest level of discretion and integrity.
- Coordinate domestic and international travel arrangements, including flights, hotels, and visas.
- Process expenses, invoices, and accounts payable with accuracy and timely follow-up.
- Assist with special projects and ad-hoc administrative duties as required.
Qualifications
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
- Proven experience managing executive-level calendars and coordinating complex schedules.
- Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Strong verbal and written communication skills with a professional telephone manner.
- Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
- High school diploma or equivalent; Bachelor’s degree preferred.
- Ability to work independently with minimal supervision in a dynamic environment.
