Apex Innovations Ltd is seeking a highly organized and proactive Executive Assistant to support our CEO in the heart of London. We are looking for an individual who thrives in a fast-paced environment and possesses a meticulous attention to detail.
In this pivotal role, you will act as the gatekeeper of the CEO's schedule, ensuring seamless coordination of meetings, travel, and internal communications. You will be responsible for managing complex calendars, drafting high-level correspondence, and facilitating cross-departmental collaboration.

Responsibilities
- Manage and optimize the CEO's complex calendar, scheduling meetings, and resolving scheduling conflicts with diplomacy.
- Plan and coordinate domestic and international business travel, including flights, accommodations, and itineraries.
- Prepare detailed briefing materials, agendas, and presentation decks for meetings and board presentations.
- Draft, proofread, and edit professional correspondence, emails, and reports with impeccable grammar and tone.
- Act as the primary point of contact for internal and external stakeholders, ensuring clear and timely communication.
- Assist with ad-hoc projects and special initiatives to support the executive leadership team.
- Maintain strict confidentiality regarding sensitive company and personnel information.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or Office Manager (minimum 3-5 years).
- Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Exceptional organizational skills with the ability to prioritize tasks in a dynamic, high-pressure environment.
- Strong written and verbal communication skills in English.
- Ability to work independently with minimal supervision while maintaining a high standard of work.
- Discretion and high integrity when handling confidential matters.
- Flexibility to work occasional evenings or weekends as required by business needs.
