Responsibilities
- Executive calendar management, prioritizing high-stakes meetings and cross-departmental coordination
- Confidential document preparation, editing, and distribution for Board of Directors and executive committees
- Travel itineraries and expense report processing for international executives with complex logistics
- Streamline office operations through vendor management, procurement, and facility coordination
- Lead cross-functional projects including offsite planning, departmental initiatives, and compliance documentation
- Develop and maintain digital filing systems ensuring GDPR compliance and data security protocols
- Act as primary liaison between executives and internal/external stakeholders with polished communication
Qualifications
- Minimum 5 years executive support experience in financial/professional services
- Expert proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
- Advanced knowledge of calendar management tools and video conferencing systems
- Exceptional written/verbal communication with ability to handle sensitive information discreetly
- Proven project management skills with ability to multitask competing priorities
- Professional certification (e.g., ILM Level 5) or relevant administrative qualification
- Fluency in English; additional European languages highly desirable
