Role Overview:
In this pivotal role, you will manage the complex schedules of C-level executives, coordinate high-stakes travel, and facilitate critical internal communications. We are looking for a self-starter who thrives in a fast-paced environment and possesses a keen eye for detail.
Responsibilities
- Calendar Management: Oversee and prioritize a demanding executive schedule, proactively identifying conflicts and scheduling conflicts.
- Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transport.
- Reporting & Documentation: Prepare comprehensive reports, presentations, and meeting minutes with a high degree of accuracy.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders, filtering communications and escalating issues when necessary.
- Event Management: Organize and manage high-profile internal meetings, board meetings, and corporate events.
- Team Leadership: Supervise and mentor junior administrative staff, providing guidance and support.
Qualifications
- Experience: Minimum of 5 years of experience in a senior executive support or administrative role.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Communication: Exceptional written and verbal communication skills with a professional and polished tone.
- Organization: Strong organizational and time management abilities with the capacity to handle multiple priorities simultaneously.
- Confidentiality: Ability to maintain strict confidentiality and discretion regarding sensitive company information.
