Responsibilities
- Calendar & Scheduling: Manage complex calendars for senior executives, including scheduling meetings, booking venues, and coordinating internal and external communications.
- Travel Management: Arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation, ensuring cost-effectiveness without compromising quality.
- Correspondence: Draft, proofread, and distribute high-level correspondence, including emails, reports, and presentations, maintaining a professional and polished tone.
- Office Management: Oversee office operations, manage inventory of office supplies, and maintain a well-organized filing system for both digital and physical records.
- Event Coordination: Plan and execute company events, board meetings, and team-building activities, handling all logistics from initial concept to final wrap-up.
- Project Support: Assist in ad-hoc projects and special assignments as required by the executive team, demonstrating flexibility and a proactive approach.
Qualifications
- Experience: Proven experience (3+ years) in an executive administrative or office management role within a corporate environment.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with CRM or project management software.
- Communication: Exceptional written and verbal communication skills with the ability to interact with stakeholders at all levels.
- Organization: Demonstrated ability to prioritize tasks, multitask effectively, and maintain attention to detail under pressure.
- Integrity: High level of discretion and confidentiality when handling sensitive company information.
- Education: A Bachelor’s degree in Business Administration or a related field is preferred.
