Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel itineraries for senior executives.
- Prepare and edit correspondence, reports, presentations, and other documents with meticulous attention to detail.
- Coordinate and organize executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Serve as the primary point of contact for internal and external stakeholders, handling communications professionally and efficiently.
- Manage and reconcile expense reports, invoices, and other financial documentation.
- Assist with special projects, research, and initiatives as assigned by the executive team, demonstrating proactive problem-solving.
- Maintain highly organized digital and physical filing systems, ensuring confidentiality and easy retrieval of information.
- Anticipate executive needs and proactively address potential issues, ensuring smooth daily operations.
Qualifications
- Proven experience (5+ years) as an Executive Assistant or Senior Administrator supporting C-level executives in a fast-paced corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with CRM or project management software.
- Superior written and verbal communication skills, with a keen eye for grammar and professional correspondence.
- High level of discretion and ability to handle confidential information with integrity and professionalism.
- Proactive, resourceful, and a strong problem-solver with a meticulous attention to detail.
- Ability to work independently with minimal supervision and collaboratively within a team.
- Bachelor's degree preferred; relevant certifications in administrative professional programs a plus.
