Responsibilities
- Manage complex executive calendars, coordinating domestic/international travel and meetings
- Prepare confidential documents, reports, and presentations using Microsoft Office Suite
- Act as primary point of contact for internal/external stakeholders, demonstrating exceptional communication
- Coordinate departmental events, conferences, and off-site meetings with meticulous attention to detail
- Manage expense reports, invoicing, and budget tracking for executive teams
- Implement and maintain efficient filing systems (digital and physical)
- Onboard new administrative staff and provide training on office protocols
Qualifications
- 5+ years of progressive administrative experience supporting C-level executives
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
- Exceptional organizational skills with ability to prioritize competing deadlines
- Discretion and ability to handle highly confidential information
- Professional bachelor's degree or equivalent combination of education/experience
- Experience with calendar management tools (Calendly, Doodle) and video conferencing platforms
- Proven ability to anticipate needs and proactively solve problems
- Fluency in English; bilingual (Spanish) preferred
