Responsibilities
- Calendar Management: Manage and prioritize a complex executive calendar, including scheduling meetings, booking travel, and coordinating across multiple time zones.
- Communication Liaison: Act as the primary point of contact for internal and external stakeholders, drafting professional correspondence, and managing email flow.
- Event Coordination: Plan and coordinate company-wide events, board meetings, and client entertainment with meticulous attention to detail.
- Document Control: Prepare, proofread, and edit high-level presentations, reports, and correspondence to ensure the highest standard of quality.
- Office Operations: Oversee office supplies, manage vendor relationships, and ensure the executive suite operates efficiently.
- Travel Administration: Arrange all domestic and international travel logistics, including itineraries, visas, and accommodations.
Qualifications
- Experience: Minimum of 4-6 years of progressive administrative experience supporting C-level executives or senior leadership.
- Education: Bachelor’s degree in Business Administration or related field is preferred.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and digital calendar management tools (e.g., Outlook, Salesforce).
- Communication: Exceptional written and verbal communication skills with a professional and polished tone.
- Organization: Superior organizational skills with the ability to multitask and prioritize tasks effectively in a fast-moving environment.
- Integrity: Demonstrated ability to handle confidential information with the utmost discretion and professionalism.
