Responsibilities
- Manage complex executive calendars, including scheduling global meetings, board sessions, and travel itineraries.
- Serve as the primary gatekeeper and point of contact for internal stakeholders and external high-profile clients.
- Prepare, edit, and proofread professional correspondence, board presentations, and confidential reports.
- Coordinate and facilitate high-stakes executive meetings, including preparing agendas and documenting action items.
- Manage expense reporting, budget tracking, and office procurement with high attention to detail.
- Lead special administrative projects that optimize departmental workflows and inter-office communication.
- Oversee office logistics and ensure a professional, efficient working environment for the leadership team.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 5+ years of experience in an executive-level administrative support role within a corporate environment.
- Exceptional proficiency in Microsoft Office Suite (365), Google Workspace, and project management tools like Asana or Trello.
- Outstanding written and verbal communication skills with a refined, professional demeanor.
- Strong problem-solving skills with the ability to maintain composure under high-pressure situations.
- Demonstrated ability to handle confidential information with discretion and integrity.
- Strong organizational skills with a proven track record of managing multiple competing priorities.
