Responsibilities
- Manage complex executive calendars, coordinating multi-departmental meetings and travel arrangements
- Prepare and edit confidential correspondence, reports, and presentations using advanced MS Office Suite
- Oversee departmental budget tracking and expense report processing
- Act as primary liaison between executives and internal/external stakeholders
- Coordinate office operations including supply inventory, vendor management, and facility maintenance
- Lead onboarding processes for new administrative staff
- Maintain digital and physical filing systems with strict confidentiality protocols
Qualifications
- 5+ years of progressive administrative support experience, preferably in financial services
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Exceptional organizational skills with demonstrated attention to detail
- Professional discretion and ability to handle sensitive information
- Bachelor's degree in Business Administration or related field preferred
- Experience with calendar management software (Calendly, Doodle)
- Proven ability to prioritize competing deadlines in high-pressure environments
