Responsibilities
- Coordinate executive calendars, meetings, and travel arrangements with global stakeholders
- Prepare confidential board reports, financial summaries, and executive presentations
- Manage office protocols including vendor relations, supply procurement, and facility coordination
- Lead onboarding processes for new administrative staff and interns
- Maintain digital filing systems with strict compliance to FINRA regulations
- Act as primary liaison between executives and department heads
- Oversee departmental budgets and expense reconciliation
Qualifications
- 5+ years of executive-level administrative experience in financial services
- Advanced proficiency in Microsoft Office Suite and document management systems
- Exceptional written and verbal communication skills with diplomacy
- Proven ability to handle confidential information with discretion
- Bachelor's degree in Business Administration or related field
- FINRA Series 7 or 63 certification preferred
- Expertise in calendar management across multiple time zones
