Key Responsibilities:
- Manage complex calendars for C-Suite executives, including scheduling meetings, managing intricate travel itineraries, and anticipating scheduling conflicts well in advance.
- Prepare and edit correspondence, including high-stakes presentations, memos, and executive reports, ensuring impeccable grammar, formatting, and tone.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with diplomacy, professionalism, and discretion.
- Coordinate high-level corporate events, client meetings, and off-site gatherings, managing all logistics, catering, and venue requirements.
- Oversee administrative projects and special assignments, requiring independent judgment, strategic thinking, and the ability to execute tasks with minimal supervision.
- Maintain and organize both physical and digital filing systems to ensure efficient information retrieval and data integrity.
- Screen and prioritize incoming communications, including phone calls and emails, routing them appropriately to the executive or team members.
Qualifications:
- Minimum of 5 years of progressive experience as an Executive Assistant or in a similar high-level administrative role within a corporate or professional services environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace with advanced proficiency in Excel and PowerPoint.
- Exceptional organizational skills with the proven ability to prioritize multiple competing tasks in a fast-paced, deadline-driven environment.
- Strong written and verbal communication skills, demonstrated by a polished professional demeanor and the ability to draft professional correspondence.
- Demonstrated ability to exercise high levels of discretion, maintain strict confidentiality, and exercise independent judgment.
- Experience with CRM software (e.g., Salesforce, HubSpot) or project management tools is a strong plus.
