Responsibilities
- Calendar Management: Oversee complex executive calendars, managing appointments, scheduling meetings, and arranging international travel with precision.
- Communication Hub: Act as the primary point of contact for internal and external stakeholders, screening calls and drafting professional correspondence.
- Meeting Coordination: Organize and minute high-level board meetings, prepare agendas, and distribute presentation materials in advance.
- Document Control: Manage confidential files, draft reports, and maintain the company’s filing systems to ensure data integrity.
- Project Support: Assist senior management with ad-hoc projects, including market research, data analysis, and event planning.
- Office Operations: Monitor office supplies, manage vendor relationships, and ensure the reception area is welcoming and professional.
Qualifications
- Experience: Minimum of 3-5 years of proven experience in an executive administrative or office management role.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and document management systems.
- Communication: Exceptional written and verbal communication skills with the ability to draft high-level correspondence.
- Attention to Detail: A meticulous approach to work with a strong focus on accuracy and confidentiality.
- Problem Solving: Ability to anticipate needs and resolve issues proactively without constant supervision.
- Education: A relevant Bachelor’s degree or equivalent professional certification.
