Responsibilities
- Manage complex executive calendars, scheduling international meetings, and coordinating travel arrangements
- Prepare confidential reports, presentations, and correspondence using advanced MS Office Suite
- Oversee departmental administrative functions including budget tracking, expense reports, and inventory management
- Serve as primary liaison between executives and internal/external stakeholders
- Coordinate board meetings, corporate events, and off-site activities
- Maintain digital filing systems with strict adherence to compliance protocols
- Lead onboarding processes for new administrative staff
Qualifications
- Bachelor's degree in Business Administration or related field (or equivalent experience)
- 5+ years supporting C-level executives in financial services or corporate environment
- Expert proficiency in MS Office Suite (Outlook, Excel, PowerPoint, Teams)
- Exceptional written/verbal communication and interpersonal skills
- Proven ability to manage competing priorities with discretion and professionalism
- Advanced knowledge of corporate travel logistics and expense management
- Experience with CRM systems (Salesforce preferred) and document automation
- Ability to obtain FINRA Series 63/65 within 6 months of hire
