In this role, you will be the gatekeeper, the organizer, and the strategic partner for our executive team. You will handle high-level tasks, manage complex schedules, and ensure seamless operations in our Midtown Manhattan office.
We are looking for someone with impeccable judgment, a proactive mindset, and the ability to maintain total confidentiality in all business matters.
Responsibilities
- Manage complex executive calendars, including scheduling internal and external meetings across multiple time zones.
- Serve as the primary point of contact for internal and external stakeholders, ensuring professional communication.
- Coordinate travel arrangements, including international flights, luxury accommodations, and detailed itineraries.
- Prepare, format, and edit high-level presentations, reports, and confidential correspondence.
- Organize board meetings and executive retreats, managing logistics from start to finish.
- Process expense reports and manage departmental budgets with high attention to detail.
- Anticipate executive needs and proactively resolve issues before they escalate.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 5 years of experience in an executive-level administrative role.
- Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional verbal and written communication skills.
- Proven ability to manage sensitive information with discretion and ethics.
- Strong problem-solving skills and the ability to work under pressure with minimal supervision.
- Tech-savvy with experience in project management tools like Asana or Trello.
