Responsibilities
- Executive Support: Manage and prioritize a demanding calendar, including scheduling meetings, booking travel, and arranging complex itineraries.
- Communication: Serve as the primary point of contact for internal and external stakeholders, filtering communications and escalating urgent matters appropriately.
- Document Management: Draft, proofread, and edit high-level correspondence, presentations, and board meeting materials to ensure accuracy and professionalism.
- Project Coordination: Assist in the coordination of cross-departmental projects, ensuring deadlines are met and resources are allocated efficiently.
- Office Operations: Oversee office supplies inventory, manage vendor relationships, and ensure the physical workspace meets high standards of functionality and aesthetics.
- Event Management: Organize and manage company-wide events, team-building activities, and client entertainment on behalf of the executive team.
- Confidentiality: Maintain strict confidentiality regarding company strategies, personnel matters, and financial data at all times.
Qualifications
- Experience: Proven track record of at least 3-5 years in an executive administrative or office management role.
- Education: A bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Skills: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Exceptional verbal and written communication skills with a polished, professional tone.
- Organization: Superior organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
