Nexus Business Solutions is seeking a high-caliber Senior Administrative Operations Coordinator to serve as the backbone of our Chicago headquarters. Responsibilities
- Manage complex, multi-time-zone executive calendars and domestic/international travel logistics.
- Serve as the primary point of contact for internal stakeholders and high-profile external clients.
- Lead the transition to paperless office workflows using advanced document management systems.
- Coordinate monthly board meetings, including agenda preparation, minute-taking, and follow-up tracking.
- Oversee vendor relationships and procurement strategies to ensure cost-effective office operations.
- Facilitate the onboarding process for new hires, managing logistical and administrative requirements.
Qualifications
- Minimum of 5 years of professional experience in an administrative or office management role.
- Expert-level proficiency in Microsoft 365 (Teams, SharePoint, Excel) and Google Workspace.
- Demonstrated ability to handle sensitive and confidential information with absolute discretion.
- Exceptional verbal and written communication skills with a refined professional tone.
- Proven track record of improving operational efficiencies or implementing new administrative systems.
- Bachelor’s degree in Business Administration or a related field is highly preferred.
