Responsibilities
- Manage executive calendars, coordinating complex domestic/international travel arrangements and meeting logistics
- Compose and edit confidential communications, reports, and presentations with meticulous attention to detail
- Oversee departmental budget tracking and expense reconciliation processes
- Coordinate cross-functional projects, serving as primary liaison between executives and department heads
- Implement and optimize office administrative systems including digital filing and records management
- Act as primary point of contact for external stakeholders, vendors, and board members
- Lead onboarding initiatives for new administrative staff and interns
Qualifications
- Bachelor's degree in Business Administration or related field (5+ years experience accepted in lieu)
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Proven experience managing executive-level schedules in fast-paced corporate environments
- Exceptional written/verbal communication skills with discretion handling confidential information
- Expertise in calendar management software (Calendly, Doodle) and virtual meeting platforms
- Strong financial acumen with experience in budget tracking and expense reporting
- Ability to prioritize competing deadlines while maintaining composure under pressure
- Professional certification (CAP or OM) preferred
