Responsibilities
- Coordinate complex executive calendars, travel arrangements, and high-stakes meeting logistics across 3 time zones
- Develop and implement streamlined administrative systems for document management, record retention, and compliance
- Act as primary liaison between executives, board members, and external stakeholders with polished communication
- Manage departmental budgets, expense reports, and vendor relationships with fiscal precision
- Lead cross-functional projects including onboarding programs, offsite planning, and process re-engineering
- Proactively identify operational bottlenecks and implement data-driven solutions
- Maintain strict confidentiality protocols while handling sensitive executive communications and documents
Qualifications
- Bachelor's degree in Business Administration or related field (or equivalent professional experience)
- 5+ years progressive administrative support experience with C-level executives
- Expert proficiency in Microsoft Office Suite and advanced calendar management tools
- Proven ability to manage competing priorities in fast-paced environments
- Exceptional written and verbal communication skills with executive presence
- Project management certification (PMP or similar) strongly preferred
