Responsibilities
- Proactively manage complex calendars, scheduling meetings, appointments, and conferences with keen attention to detail and changing priorities.
- Coordinate intricate domestic and international travel arrangements, including flights, accommodation, ground transportation, and detailed itineraries.
- Prepare and edit professional correspondence, presentations, reports, and other documents, ensuring accuracy and adherence to company standards.
- Process expense reports and invoices, ensuring compliance with company policies and timely submission.
- Organize and facilitate executive meetings, including preparing agendas, distributing materials, recording minutes, and tracking action items.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries with discretion and professionalism.
- Manage office supplies inventory and facilitate procurement processes to ensure smooth day-to-day operations.
- Assist with special projects and initiatives as assigned by senior leadership, demonstrating flexibility and resourcefulness.
Qualifications
- Minimum of 3-5 years of experience in an Executive Administrative Assistant or similar senior administrative role, preferably supporting C-level executives.
- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office management software.
- Superior organizational and time management skills with the ability to prioritize effectively in a dynamic, deadline-driven environment.
- Outstanding verbal and written communication skills, with a polished and professional demeanor.
- Demonstrated ability to handle confidential information with the utmost discretion and integrity.
- Strong problem-solving abilities and a proactive approach to anticipating needs and resolving issues independently.
- High level of adaptability and willingness to take on new challenges and learn new systems quickly.
- Bachelor's degree preferred, or equivalent practical experience.
