Responsibilities
- Calendar Management: Manage complex calendars, schedule meetings, coordinate travel arrangements, and arrange domestic and international travel itineraries.
- Communication: Screen incoming calls, manage email correspondence, and draft professional responses on behalf of executives.
- Document Control: Prepare, proofread, and distribute meeting agendas, minutes, presentations, and reports with high attention to detail.
- Project Support: Assist in the coordination of internal projects and events, ensuring deadlines are met and resources are allocated effectively.
- Office Operations: Maintain office supplies inventory, manage filing systems (both digital and physical), and ensure the reception area is welcoming and organized.
- Expense Reporting: Process expense reports and invoices promptly in accordance with company policy.
Qualifications
- Experience: Minimum of 3-5 years of experience in an administrative or executive support role within a corporate environment.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with CRM software is a plus.
- Communication: Exceptional written and verbal communication skills with a professional telephone manner.
- Organization: Proven ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities without compromising quality.
- Integrity: Demonstrated discretion, confidentiality, and professional judgment in handling sensitive information.
- Education: High school diploma or equivalent; additional qualifications in Business Administration are preferred.
