Responsibilities
- Manage complex executive calendars, scheduling international meetings and coordinating logistics across multiple time zones
- Prepare confidential correspondence, reports, and presentations using advanced Microsoft Office Suite proficiency
- Coordinate domestic and international travel arrangements including itineraries, accommodations, and expense reports
- Serve as primary liaison between executives and internal/external stakeholders, maintaining discretion and professionalism
- Lead special projects including event coordination, process improvements, and departmental initiatives
- Manage office operations including inventory, vendor relationships, and budget tracking
- Maintain digital and physical filing systems with strict adherence to compliance protocols
Qualifications
- Minimum 5 years of executive administrative support experience, preferably in financial services
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Exceptional written and verbal communication skills with polished business etiquette
- Proven ability to manage competing priorities with meticulous attention to detail
- Discretion and confidentiality when handling sensitive executive information
- Experience with calendar management software (Calendly, Doodle) and travel booking platforms
- Associate's degree or equivalent professional certification required; bachelor's preferred
