This role is pivotal in ensuring operational excellence and seamless office workflow in our downtown Chicago headquarters.
You will act as the primary point of contact for internal and external stakeholders, managing high-level schedules and coordinating critical business initiatives.
Responsibilities
- Manage complex executive calendars, including scheduling meetings, travel arrangements, and speaking engagements.
- Prepare high-quality presentations, reports, and correspondence for board-level reviews.
- Act as the primary gatekeeper, screening calls and managing email correspondence with discretion.
- Coordinate board meetings, off-sites, and corporate events, including logistics and agenda preparation.
- Maintain electronic and physical filing systems, ensuring absolute confidentiality and data integrity.
- Serve as a liaison between department heads to streamline cross-functional projects.
- Manage office supply procurement and vendor relations to ensure cost-effective operations.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 4 years of experience providing high-level executive support.
- Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional verbal and written communication skills with a professional demeanor.
- Demonstrated ability to maintain absolute confidentiality and exercise sound judgment.
- Proven track record of managing competing priorities in a high-pressure environment.
- Experience with enterprise-level project management software (e.g., Asana, Trello, or Jira).
