Responsibilities
- Manage complex executive calendars, including scheduling meetings and resolving scheduling conflicts.
- Coordinate travel logistics, including international flights, accommodations, and detailed itineraries.
- Prepare high-quality presentations, reports, and correspondence for board meetings.
- Serve as the primary point of contact for internal stakeholders and high-profile external clients.
- Maintain office systems, including confidential records and digital filing architectures.
- Execute special projects and perform ad-hoc research as requested by the executive team.
- Oversee departmental budget tracking and expense reporting.
Qualifications
- Minimum of 5 years of experience in an executive-level administrative or office management role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional verbal and written communication skills with a focus on professional diplomacy.
- Proven ability to manage sensitive, confidential information with total discretion.
- Strong problem-solving skills and the ability to multitask in a high-pressure environment.
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Experience with cloud-based collaboration tools (e.g., Slack, Asana, Zoom).
