This role is designed for a detail-oriented individual who excels at multitasking and communication. You will be the gatekeeper, the coordinator, and the primary point of contact for our executive office.
Responsibilities
- Manage complex executive calendars, including scheduling meetings, travel arrangements, and speaking engagements.
- Prepare high-quality presentations, reports, and correspondence for board meetings.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Handle confidential information with absolute discretion and professionalism.
- Coordinate logistics for large-scale company events, conferences, and executive off-sites.
- Optimize office administrative processes to improve team efficiency and workflow.
- Process expense reports and manage department budgets accurately.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 4+ years of experience in an administrative, secretarial, or office management role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional verbal and written communication skills.
- Strong problem-solving abilities and the capacity to work under pressure.
- Proven ability to anticipate needs and proactively manage tasks.
- Experience using project management software such as Asana or Trello is a plus.
