Responsibilities
- Calendar Management: Oversee and manage complex executive calendars, scheduling meetings, booking travel, and coordinating cross-functional events.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders, drafting professional correspondence, emails, and presentations.
- Meeting Coordination: Prepare meeting agendas, take detailed minutes, and distribute action items to ensure follow-through on all initiatives.
- Office Operations: Manage daily office logistics, including inventory control, vendor management, and maintaining a professional reception area.
- Data Management: Maintain accurate electronic and physical records, files, and databases using our enterprise resource planning systems.
- Project Support: Assist in special projects and research tasks, providing analytical support to the management team as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration is preferred.
- Experience: Minimum of 3-5 years of experience in an executive administrative or clerical capacity.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Superior verbal and written communication skills with a polished, professional tone.
- Organization: Strong organizational skills with the ability to multitask and prioritize effectively in a high-pressure environment.
- Integrity: Demonstrated ability to maintain strict confidentiality and exercise sound judgment in decision-making.
